This Privacy Policy explains what information Proactive Potential ("we," "us," or "our") collects through proactivepotential.com and through our two apps, Proactive Vault and Proactive Contacts, and how we use it. It should be read together with our Terms of Service.
1. The Short Version
Proactive Vault and Proactive Contacts are both local-first: the contacts, companies, and other data you store in them stay in a database on your own device, encrypted at rest. We do not receive, transmit, or store that data on any server we control. Proactive Contacts additionally syncs the contacts you choose with your Mac's own Contacts app — that sync happens directly between the app and macOS on your device, never through us. Proactive Vault optionally connects to AI agents you run yourself (like Claude Desktop) over a local, on-device connection; Proactive Contacts has no AI-agent connectivity of any kind. On the website, we collect only what you submit through forms (like the contact form) and standard, minimal site analytics. Payment information goes directly to our payment processors — Lemon Squeezy for Vault, Apple's App Store for Contacts' Premium subscription — we never see or store your card details.
2. Information We Collect
Information you provide to us. If you submit the contact form on the website, we collect your name, organization, work email, area of interest, and any message you include. If you purchase Proactive Vault, Lemon Squeezy collects your billing information and email address as part of checkout and shares your order details (such as your email and license key) with us so we can support your purchase. If you subscribe to Proactive Contacts Premium, Apple collects your payment details as part of the App Store purchase flow — we never receive or see them.
Information Proactive Vault sends automatically. To activate and validate your Proactive Vault license, the application sends your license key and a generated device-instance identifier to Lemon Squeezy's licensing API. It does not send your contacts, companies, notes, documents, or any other data you store in the app.
Information Proactive Contacts sends automatically. Proactive Contacts has no cloud component and no AI-agent connectivity of any kind. It does not send your contacts, companies, notes, custom fields, or any other CRM data anywhere — not to us, not to any server we or anyone else controls. Its only network activity is Apple's own StoreKit framework confirming your Premium subscription status directly with Apple; Proactive Contacts itself only ever sees a yes/no entitlement result, never your payment details. Separately, if you turn on Mac Contacts sync, Proactive Contacts reads and writes the contacts you choose directly through Apple's Contacts framework on your own Mac — this happens entirely on-device and never passes through us.
Information collected automatically on the site. Like most websites, we may collect basic, aggregated usage analytics (such as pages visited and general device/browser type) to understand how the site is used. We do not use this data to build individual advertising profiles, and we do not sell it.
3. How We Use Information
We use the information above to: respond to inquiries submitted through the contact form; deliver, support, and troubleshoot your Proactive Vault or Proactive Contacts purchase and license; process refunds when requested within our refund window; maintain the security and reliability of the Services; and comply with legal and tax obligations.
4. Payment Processing
Proactive Vault.All payments for Proactive Vault are processed by Lemon Squeezy, Inc., which acts as the Merchant of Record for these transactions. Lemon Squeezy collects and processes your payment details directly; we do not receive or store your full card number or other sensitive payment credentials. Lemon Squeezy's handling of your information is governed by its own Privacy Policy.
Proactive Contacts.The Proactive Contacts Premium subscription is sold and processed entirely by Apple through the Mac App Store's in-app purchase system, with Apple acting as the Merchant of Record. We never receive or see your payment details — Apple handles billing, renewals, and refunds directly, under Apple's own Privacy Policy.
5. Data Storage & Retention
Data you enter into Proactive Vault or Proactive Contacts (contacts, companies, notes, custom fields, and similar) is stored only in a local database on your device, encrypted at rest, and is never transmitted to us. We retain contact-form submissions and purchase/license records for as long as reasonably necessary to support you, meet legal and tax obligations, and enforce our Terms, after which we delete or anonymize them.
6. Cookies & Analytics
The website may use minimal, privacy-conscious analytics to understand aggregate traffic. We do not use tracking cookies to build cross-site advertising profiles of visitors.
7. Third-Party Services
We share information with a limited set of service providers who help us run the Services: Lemon Squeezy (Proactive Vault payment processing, tax, license issuance and activation), Apple (Proactive Contacts subscription processing, distributed entirely through the Mac App Store), and our hosting/analytics provider, Vercel Inc. These providers only receive the information necessary to perform their function and are not permitted to use it for their own marketing purposes.
8. Your Rights & Choices
Depending on where you live, you may have rights to access, correct, delete, or export the personal information we hold about you, or to object to certain processing. Because both Vault's and Contacts' data lives entirely on your device, you already have full control over it — you can export or delete it directly in the app at any time. For anything we hold on the website or purchase side (contact-form submissions, order/license records), submit a request through our support form and we will respond within a reasonable time. For Proactive Contacts subscriptions, you can also manage or cancel directly through your Apple ID account settings at any time.
9. Children's Privacy
The Services are not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, contact us and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above. Continued use of the Services after a change takes effect constitutes acceptance of the revised policy.
